VIVA Quinta is a brand of Musas Encantadoras Lda, a Portuguese limited company. In this Property Privacy Policy, "we", "us", and "our" refer to Musas Encantadoras Lda, trading as VIVA Quinta.

This Property Privacy Policy explains how we collect, use, store, share, and protect personal data in connection with guest stays at VIVA Quinta properties, including reservations, online check-in, guest communications, wellness bookings, on-property operations, and legal compliance obligations. It applies to guests, prospective guests, and, where relevant, approved visitors associated with a reservation.[web:40][web:46][web:48]

2. Working farm notice

All VIVA Quinta properties are working farms. This means that farm activity is an ongoing and permanent part of the guest environment and does not stop during guest stays.

During your stay, you should expect to see or encounter owners, staff, contractors, gardeners, maintenance personnel, wellness providers, agricultural workers, delivery personnel, or other authorized persons carrying out farm, hospitality, maintenance, landscaping, cleaning, animal care, cultivation, harvesting, or operational work on the property.

We include this notice so that guests clearly understand the nature of the property and the operational environment before arrival. Although guest privacy is respected, complete seclusion from ordinary farm operations cannot be guaranteed at any VIVA Quinta property.


3. What data we collect

We collect only the personal data reasonably necessary to manage bookings, host stays, provide services, maintain safety, protect property, and comply with legal obligations.[web:40][web:41][web:46]

a) Reservation and contact data

  • Full name
  • Email address
  • Telephone number
  • Home address or billing address where required
  • Booking channel and reservation reference
  • Arrival and departure dates
  • Number of guests and stay preferences
  • Messages, inquiries, and other communications sent to us

b) Online check-in and guest identity data

  • Date of birth
  • Nationality
  • Passport or identification document details
  • Country of residence
  • Signature, declarations, acknowledgements, or policy acceptance records
  • Vehicle details where relevant for access or parking management

c) Payment and billing data

  • Payment status and transaction references
  • Billing name and billing address where required
  • VAT or tax identification details where needed for invoicing
  • Refund, chargeback, or payment dispute records

Payment card data is generally processed by our payment service providers or booking platforms. We do not intentionally store full payment card numbers unless this is securely handled through an authorized payment provider environment.[web:46][web:48]

d) Stay and service data

  • Special requests and service preferences
  • Dietary information voluntarily provided by the guest
  • Accessibility needs voluntarily provided by the guest
  • Requested housekeeping, transfers, or other hospitality services
  • Spa and wellness bookings, including jacuzzis, saunas, cold plunges, massages, wraps, scrubs, and other paid treatments
  • Incident reports, maintenance reports, complaint records, or guest support records

e) Safety, access and operational data

  • Arrival and departure timing
  • Access log records where electronic access systems are used
  • Communications regarding check-in, safety, emergencies, or incidents
  • Reports relating to property misuse, damage, rule violations, or safety concerns

f) Security cameras and monitoring

VIVA Quinta properties use exterior gate cameras and exterior house cameras as part of our security and safety measures.[web:55][web:59][web:62]

These cameras are used only in exterior areas such as entrances, gates, driveways, access points, and outdoor areas surrounding the accommodation, and are used to help protect guests, staff, animals, buildings, equipment, and farm operations.[web:55][web:59][web:62]

There are no cameras inside the houses, and VIVA Quinta does not use cameras inside bedrooms, bathrooms, living areas, kitchens, or any other private interior guest accommodation spaces.[web:55][web:56][web:59][web:61][web:62]

Exterior camera data may be used for access verification, incident investigation, property protection, safety review, fraud prevention, insurance matters, and compliance with legal obligations where applicable.[web:55][web:59][web:62][web:67]

Exterior cameras are not intended to monitor the private interior use of the accommodation, and they must not be understood as replacing emergency response, guest supervision, or personal responsibility for safety.[web:55][web:60][web:62]

Where recordings are made, they are retained only for a limited period reasonably necessary for security, incident review, or legal obligations, and access is restricted to authorized persons and lawful disclosures where required.[web:55][web:65][web:67]


4. How we use your data

We use guest data only where there is a clear business, service, legal, or safety reason to do so.[web:40][web:46][web:48]

5. Portuguese accommodation registration

As an accommodation provider in Portugal, we may be legally required to collect and register guest identification details and related stay information for reporting to the competent authorities.[web:40][web:44]

This may include full name, date of birth, nationality, identity document details, residence information, and arrival and departure dates, depending on the applicable legal requirements at the time of stay.[web:40][web:44]

Where the law requires us to collect or retain this information, we cannot delete it before the mandatory legal retention period has expired.[web:40][web:44]


6. Wellness, health and special request data

If you book a massage, wrap, scrub, sauna session, cold plunge, jacuzzi session, or other wellness service, we may collect the information reasonably necessary to schedule and deliver that service safely and appropriately.

This may include appointment timing, therapist or provider allocation, relevant preferences, and health or contraindication information that you choose to provide to us. Guests should only provide health information that is necessary for the requested service.

Where health-related data is voluntarily provided, we will use it only for the limited purpose of assessing service suitability, guest safety, and service delivery, and we will restrict access to those who need to know it.[web:43][web:46][web:52]


7. Working farm operations and guest privacy

Because every VIVA Quinta property is a working farm, normal operations may continue during your stay, including cultivation, harvesting, irrigation, deliveries, landscaping, maintenance, cleaning, and animal care.

These operational activities may require staff or authorized service providers to be present in outdoor, agricultural, technical, or service areas of the property. They do not entitle staff or service providers to enter private guest accommodation except where necessary for housekeeping, maintenance, emergencies, requested services, or other legitimate operational reasons.

We seek to balance guest privacy with the practical realities of operating a working farm and hospitality business. Guests should understand that visual or physical presence of authorized personnel elsewhere on the property is normal and does not, by itself, indicate monitoring of the guest’s private accommodation.


8. Who we share your data with

We do not sell guest personal data. We share personal data only where necessary to operate our business, deliver services, process payments, comply with law, or protect legitimate interests.[web:40][web:46][web:48]

  • Booking platforms and PMS providers such as Airbnb, Booking.com, MEWS, and related channel or operational systems, where relevant to your reservation
  • Payment processors and financial institutions for payment collection, refunds, invoicing, or dispute handling
  • Wellness providers, cleaners, maintenance contractors, drivers, or other service partners where limited guest information is necessary to deliver a requested or operational service
  • Portuguese authorities and other competent authorities where registration, reporting, taxation, safety, or legal disclosure obligations apply[web:40][web:44]
  • Professional advisers such as accountants, lawyers, insurers, and IT or security consultants, where necessary and subject to confidentiality obligations

9. International transfers

Some of our technology providers or service partners may process personal data outside the European Economic Area or the United Kingdom. Where that occurs, we will use appropriate safeguards required by applicable data protection law, such as adequacy decisions, Standard Contractual Clauses, or other valid transfer mechanisms.[web:40][web:48][web:52]


10. How long we keep your data

  • Reservation and guest communication data: for as long as needed to manage the stay and respond to post-stay issues
  • Guest registration and legally required identity data: for the period required under applicable Portuguese law[web:40][web:44]
  • Accounting and invoicing records: for the legally required retention period under Portuguese tax and accounting rules[web:40][web:48]
  • Security, incident, or dispute records, including relevant exterior camera footage: for as long as reasonably necessary to investigate, defend, or resolve the relevant matter[web:41][web:47][web:55]
  • Marketing consent and preference records: until consent is withdrawn or the record is no longer needed to demonstrate compliance[web:40][web:52]

11. Your rights

Subject to applicable law, you may have the right to request access to your personal data, correction of inaccurate data, deletion of data, restriction of processing, objection to certain processing, and data portability.[web:40][web:46][web:52]

These rights are not absolute. For example, we may be unable to delete data that we are required by law to retain for guest registration, tax, accounting, fraud prevention, legal claims, or security incident documentation.[web:40][web:44][web:55]
